5 Ways to Save Money and Drive Efficiency with Your Mileage Program

First, make your mileage policies clear

Set rules – and make them readily accessible – on such things as when expenses should be submitted, personal vs. rental car use, and what types of trips will and won’t be reimbursed.

 

Second, expect clarity and control

Sure, mileage can be hard to track, but that doesn’t mean a company has to accept it and surrender. Employees should know your expectations, and your business should seek out tools – or mine data it already has – to capture mileage and secure visibility into spending. Knowledge in hand, you can fix problems.

 

Third, make mileage accuracy paramount

Along with automated tools and encouraging employees to use them, consider an approach such as Fixed and Variable Rate (FAVR) reimbursement program. They can reduce per employee mileage costs to the tune of 26%3.

 

Fourth, make tracking mileage mobile and easy

Once they get used to it, employees will find a tracking app a much easier way to log their trips using their mobile phones. It’s simple and intuitive and, when connected to your expense system, they can easily and accurately submit their miles. And your business will more quickly know where it stands with mileage.

 

Fifth, measure the sustainability

Reducing environmental impact is increasingly imperative for most businesses. And the miles your employees roll up certainly are a factor – and a key metric – in its carbon footprint. An accurate mileage tally is another way for you to measure – and possibly reduce – emissions.
